The summary section gives an overview of what the process is about and who is responsible for maintaining and overseeing its use.

Process Title

Processes are a course of action for your staff. The best process titles start with a verb to emphasise this. Ensure the title is accurate and succinct too; it is what people will see in search results, group overviews, the process sidebar, reports and anywhere it is referenced.

Reference Number

Using reference numbers for your processes can be switched on in the site configuration. The references appear before the process title rather than as a separate field, so they can be seen anywhere the process is referenced.

Process Owner and Expert

The Process Owner is the person with overall responsibility for ensuring that processes are operating efficiently and continuously improving. They are not necessarily a subject matter expert but have the authority to approve changes as needed.

The Process Expert performs the day to day process management on behalf of the Process Owner. They need to be involved in the process and have a detailed understanding of it.

Display type

The display defaults to [Normal], which is most commonly used. This shows a process map, with a tab for the procedure view of the process.

[Text View] hides the process map, showing just the procedure view. You might use text mode to show policy information or other information that would be useful to know but doesn’t belong to a particular Process.

Process Objective and Background

The Process Objective is a clear description of what the process aims to achieve and when it does or doesn’t apply. Examples are helpful here. For example:

This process covers reimbursing staff for small payments (less than $20). This is usually for buying coffee refills or milk if it runs out during the day, sometimes other urgent small things like stamps. As the process shows, get approval first and keep receipts as they’ll need to be filed. If the expense is over $20, follow the Staff Expense Claims process.

The Process Background is for notes on why the process is needed, context around any special circumstances that affect it or reference to legislation or regulations that might contribute to its necessity.
