Documents are used to support your processes with more information, supplying images, videos, explanations, forms or web links. They can be stored within Promapp itself or drawn from your organisations' document management system or a network drive.

There are 2 key ways of adding a document to Promapp, depending on the type of document and your storage systems.

  • Upload: Use this if the document is only used in Promapp or you want to use Promapp as a basic document management system.
  • Link: If you have a recognised organisation-wide document management system, linking documents ensures access to the latest version. Linking also provides greater security for sensitive documents. If you typically use a shared network drive, it may be more efficient to upload your documents directly to Promapp.

Documents in Promapp are associated with process groups, not just individual processes, so they’re able to be used multiple times in a business area. The right to edit them (or approve a document under Document Approval mode) is determined by the process group stakeholder settings.
