Good processes are supported by great documentation. Promapp recognises that reality and allows you to add documents in a variety of formats to the processes you capture. Whether text, images, videos or linked sites, Promapp has the capacity to store documentation in the database or draw it from your intranet, document management system or the internet.

Document Types

Promapp has a pre-defined list of common types of documents that you can select from. Each has a specific purpose in your processes. Promasters can customise the labels for the first 5 document types to suit your organisation’s documentation requirements.

  • Form: Forms are documents to be filled in as part of the process they’re attached to.
  • Guide: These provide detailed step-by-step instructions, often with screenshots or graphics providing tips on using a tool, application or platform.
  • Information: Information documents are a general category for anything that doesn’t fit one of the other types. They are also used to provide examples in a process.
  • Policy: Policy documents contain the approved business rules that pertain to the process.
  • Training: These are materials used for training or educating staff about an aspect of the process.
  • Image: Images display as thumbnails and expand to provide visual guides for an activity. This label isn’t customisable.
  • Video: Promapp can host video clips that demonstrate activity steps or add useful information like tutorials or explanations. This label isn’t customisable.
  • Web link: These link to external websites that may be required for the activity or provide additional information. You need to enter the full URL, including http:// or https:// at the start. This label isn’t customisable.
