Select the paperclip icon and choose the type of document you wish to attach. This opens a dialogue to either attach a document already in your Promapp site, upload a new document or link to one in your document management system or network. You can change the document source by clicking on the buttons at the top of the dialogue box.

Attaching an Existing Document

If the document has previously been added to Promapp, you can search for it by the group it is associated with or by name. Start typing the name in the title field to see matching documents, or browse all the documents or groups with one of the drop-down lists. Click [Attach] to add the document to your activity step.

To upload a new document to Promapp, select [Choose File] and navigate to the document you want to add. The Process Group field will default to the one you are currently in, but can be changed if you want the document housed elsewhere, like a Document Only group.

Linking to a Document

From the [Link Document] pop-up, select the Process Group to associate it with, and enter the display name you want to use for the document.

If the document is on a shared network drive, check that box and enter the full file path. You can’t use this feature to add local files though (e.g. on your C: drive) as these won’t be available to other users viewing the process. Use the upload option for documents like this instead.

If you want to link to a document on your document management system, intranet or the web, check the [Link to an external/internet file] box.

All URL links used for documents in Promapp are validated for security of the site. If you see an error informing you that the ‘URL is invalid and should be formatted correctly’ you may need to ask your Promaster to contact Promapp Support to have that URL allowed for your site.

Edit a Document in a Process

Document editors can replace documents directly through the process edit page. Click on the pencil icon on the right of the document to open the replace document dialogue. This is similar to the attach document window, but it also shows the existing document name and type, which can’t be edited in this screen.
